Executive Assistant to National Sales Manager

We area rapidly growing food ingredient supplier serving manufacturers, distributors, and food brands across North America. We specialize in high-quality ingredients sourced from around the world and pride ourselves on speed, service, organization, and strong customer relationships.
We are looking for a highly organized, detail-oriented, and proactive Executive Assistant to support our National Sales Manager and sales team.
This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys coordinating operations, customer communication, logistics, and sales support.
Responsibilities
Schedule and coordinate customer orders
Follow up with customers regarding shipments, samples, and order status
Send ingredient samples and coordinate sample tracking
Request pricing and quotes from suppliers/vendors
Assist with customer quote preparation and sales support
Coordinate internally with sales reps, warehouses, and logistics providers
Maintain accurate records in company systems
Help organize trade shows, customer meetings, and sales activities
Monitor email communications and respond professionally to customers and vendors
Support special projects and operational tasks as needed
Qualifications
Highly organized with strong attention to detail
Excellent communication and follow-up skills
Ability to multitask and prioritize effectively
Comfortable working in a fast-moving sales environment
Strong computer skills (Excel, email, CRM systems, Google Workspace, etc.)
Professional and positive attitude
Experience in food ingredients, logistics, customer service, or sales support is a plus
Ability to work independently and solve problems proactively
