Job Title: Operations Coordinator & Growth Specialist (Part-Time to Full-Time)
Company: Pronto
Location: Hybrid – Some onsite work required, but anything that can be done from home, should be done from home.
Job Type: Part-Time, with clear path to Full-Time for the right person
About Pronto
We are an ambitious, growing gelato company that is beginning to expand as we enter our third year. We run an independent, high-trust work environment. Although you will work closely at first with the owner, we are not into micro-managing. We hire great people and then let them do their job.
Who We Are Looking For
We need a self-motivated, proactive go-getter who thrives when working independently but isn’t afraid to ask questions. The ideal candidate will assess the current state of the business, find ways to improve it, communicate their intention, and then execute their plan. The person who will thrive in this environment lives by three core values:
Being a Go-Getter: You don’t wait to be told what to do; you see a need and tackle it.
Taking Responsibility: You take full ownership of your tasks and outcomes.
Positive Attitude: Even when it’s rough, we still have a good time.
Key Character Traits
To excel in this role, you must be:
Organized & Fastidious: You have an eye for detail, hate loose ends, and take pride in precision (whether it’s inventory or payroll).
A Natural System-Builder: You don’t just follow a process; you love finding ways to make it smoother, faster, and more efficient.
Savvy with Technology: You pick up new software quickly and know how to leverage tech to streamline operations. Experience with quickbooks, google sheets, and square POS is a plus.
A Clear Communicator: You can write an engaging newsletter, collaborate with the team, and keep management in the loop with clarity and ease.
The Role & Responsibilities
Your time will be split roughly 50/50 between repeating weekly operational tasks and building new systems/projects.
Daily & Weekly Operations:
Scheduling & Payroll: Managing team schedules in Pronto and processing payroll.
Financial & Admin: Entering invoices and keeping administrative tasks organized.
Onboarding: Making sure that all new hire paperwork is executed properly.
Inventory & Ordering: Tracking stock levels and managing disposable goods ordering.
Digital Presence: Managing the newsletter, updating social media channels, and keeping hours/menu updates current across platforms.
Growth & System Building:
Catering Program Launch: Helping get a brand-new, high-potential gelato catering market off the ground.
System Optimization: Designing, documenting, and implementing efficient new systems for a growing business.
What We Offer
Initial Training: You will work with the owner for the first few weeks until your feet are under you.
Autonomy: Once comfortable, you will enjoy hands-off management and the freedom to work independently, with weekly check-ins with the owner.
Hybrid Flexibility: Work from home for all computer-based tasks, with some required onsite hours.
Career Growth: This is a part-time role designed to scale into a full-time position as you help expand the business.
Requirements
Proven ability to work independently and manage your own time effectively.
Reliable transportation for onsite operational tasks.
