What You’ll Be Responsible For
Your mission: create a seamless, caring, and professional experience for our clients—while keeping our operations organized and on point. You’ll be expected to bring a high level of responsiveness, accuracy, and white-glove service to everything you do.
Client Onboarding + Paperwork
Prepare and process new client paperwork via Schwab and Altruist
Track account opening progress and follow up on outstanding items
Coordinate welcome emails and onboarding task assignments
Ongoing Client Service
Maintain and update client data in Wealthbox, RightCapital, Holistiplan, and Wealth.com
Manage billing setup and invoicing through AdvicePay
Prepare meeting documents, summaries, and follow-ups
Take accurate and professional meeting notes during client calls and help organize next steps
Upload estate planning documents and ensure data integrity
Respond to client service requests (e.g., account updates, contributions/distributions, beneficiary changes) with prompt and polished communication
Administrative + Communication Support
Schedule meetings via Calendly and manage client calendar workflows
Join Zoom meetings as needed to support logistics and documentation
Monitor or draft responses for client service emails in coordination with the advisor
This Role Is For You If You…
Have 3+ years of experience as a Client Service Associate (CSA) or in a similar role within a financial planning or RIA firm
Are responsive, detail-oriented, and committed to delivering high-touch, white-glove service
Are confident in handling client service workflows and paperwork
Can work independently and communicate proactively in a remote, async-first environment
Love bringing order to chaos, staying organized, and making clients feel supported
Handle confidential financial information with integrity and care
Are tech-forward and willing to learn any platforms you’re not already familiar with
Are available to work some hours between 9 am–5 pm Eastern Time (EST) to support client and advisor schedules
Are based in the Washington, D.C. area (bonus, not required)

Compensation & Structure
$40–$60/hour based on experience
~10-15 hours/week
Compensation and hours will grow based on performance and role expansion.
