Who I’m Looking For
I’m seeking a detail-oriented Virtual Assistant to become my right hand in running a service-based financial business. If you’re a tech-savvy self-starter who thrives on building systems, managing details, and keeping operations smooth and stress-free, this could be a perfect fit.
This role is ideal for someone who enjoys working independently, communicates clearly, and can bring structure to a high-touch service-based business. I’m especially looking for someone who thinks critically about workflows, offers suggestions, and brings a process-minded lens to the work.
Key Responsibilities
PRIMARY DUTIES
Client & Workflow Support
• Follow up with clients for missing documents or outstanding deliverables
• Assist with new client onboarding: welcome emails, forms, folder setup
• Clean up, maintain and update workflows in Dubsado and ClickUp
• Track monthly deliverables and ensure timely completion
Billing Support
• Prepare and send invoices through Dubsado
• Monitor payment status and send friendly reminders
• Track billable hours vs. retainers and flag overages
Inbox & Calendar Management
• Triage incoming emails, respond to routine inquiries, and flag priority items
• Manage Calendar: book and confirm client calls and recurring appointments
SECONDARY DUTIES
Admin & Systems Support
• Keep shared folders, and project systems organized and updated
• Create and refine templates and automations in Dubsado, ClickUp, etc.
• Evaluate current tools and processes, and recommend improvements to streamline efficiency
Social Media & Light Marketing Support
• Schedule content to Instagram, Facebook, or LinkedIn
YOU’RE A GREAT FIT IF YOU HAVE:
3+ years of experience as a remote VA, or OBM
Proficiency in Dubsado, ClickUp or similar systems
Excellent communication and follow up skills
A self starting attitude and the ability to take ownership of projects
Strong attention to detail and organizational systems
(Bonus) Familiarity with Quickbooks Online and/or bookkeeping experience
