Overview

We are looking for a responsible and resourceful virtual assistant with excellent organizational skills to join our team. Working remotely, the virtual assistant will be responsible for tracking and managing clients, contracts, invoices, and payment reminders. The ideal candidate should be tech savvy, able to communicate through multiple channels, and self-motivated. The virtual assistant will organize and update files, answer emails, and assist in creating proposals and other materials. Though this position is a part-time 1099 position, general availability during business hours is a must (9am-5pm EST).

Responsibilities include:
• Manage client list & information in CRM
• Manage contract renewals & reminders
• Process customer inquiries
• Manage client onboarding & offboarding
• Draft & review proposals & contracts
• Manage client billing & invoice reminders
• Manage contractor scheduling
• Compile & send out monthly website reports
• Maintain and update SOPs as needed
• Create projects from templates and manage project timelines and deliverables

Qualifications

• Associate or bachelor’s degree or higher • Demonstrated experience handling assistant or administrative responsibilities, or experience in customer service or related field • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel) and Adobe • Experience with Google Calendar & other Google tools • Familiarity with online invoicing software (Freshbooks), CRM software (Capsule), project management software (Basecamp), and proposal software (Better Proposals) • Familiarity with Zapier and other automation tools is a plus • Able to organize and manage large amounts of files, tasks, schedules, and information • Self-directed and able to work without supervision • Excellent verbal and written communication skills • Strong customer service skills
