Operations Support Coordinator (Remote | 25+ Hours/Week)

Wolfe, a growing boutique accounting and advisory firm, is looking for an Operations Support Coordinator who takes ownership, solves problems, and brings positive energy to every task.

Key Responsibilities: –

– Manage the owner’s calendar and coordinate Zoom/in-person/internal meetings
– Handle weekly invoicing, billing, and payment processing
– Track unpaid invoices and follow up with clients to ensure timely payments
– Support revenue goals by keeping billing and tracking current
– Code transactions in QuickBooks Online and manage occasional bill payments
– Maintain and update client data, spreadsheets, trackers, and the Master Client List
– Manage time entry system and ensure folders are set up each month
– Support onboarding of new clients and update records as clients offboard
– Strategic planning for firm growth and setting up sustainable processes
– Coordinate travel and book team-building events and activities
– Support social media efforts and respond to website inquiries
– Conduct internal and client-related research to keep the company competitive
– Lead 1099 filing annually, including data collection and submissions
– Manage yearly engagement letters and rate assessments
– Coordinate quarterly appreciation gifts for clients
– Follow up internally on tasks and project items
– Identify and recommend improvements to systems and processes
– Keep client files organized, up-to-date, and clearly formatted with relevant info
