We are looking for a detail-oriented and adaptable Operations Assistant to support our 3D scanning, asset management, and training operations. This is a remote position, offering flexibility while working closely with our team to keep projects running smoothly. The role provides hands-on assistance with data imports, project coordination, contractor oversight, training content, and technical support. The right candidate is tech-savvy, organized, and comfortable jumping into both structured assignments and last-minute tasks.

Key Responsibilities

Data & Asset Management

  • Import and organize equipment and asset information in our system
  • Troubleshoot data issues (e.g., missing fields, formatting errors)
  • Review spreadsheets for unusual entries or errors
  • Maintain organized file storage in Google Drive

Team & Project Coordination

  • Check in on scanning contractors to ensure progress is on track
  • Step in to add tags or complete assignments when needed
  • Write simple “How-to” guides and SOPs for tagging and workflows
  • Build task templates in ClickUp for contractor onboarding and routing

Training & Content Support

  • Help create training courses by organizing content, images, and materials
  • Support course modules that connect directly to 3D scans

Client Environment & User Support

  • Set up new client accounts, including custom fields and equipment categories
  • Test new features and provide feedback
  • Reset user accounts (passwords, email updates, etc.)
  • Import user lists in bulk

3D Scan Support (Matterport)

  • Add digital tags inside 3D scans to identify key equipment
  • Merge multiple scans into one model when needed
  • Crop or clean up scans for easier navigation
  • Review scans during projects and provide feedback on missed areas

Qualifications / Skills Needed (Optional)

  • Strong attention to detail and organizational skills
  • Comfortable working with spreadsheets and structured data
  • Ability to quickly learn new platforms (ClickUp, Matterport, Google Workspace)
  • Clear written communication skills for instructions and feedback
  • Self-motivated and able to manage multiple assignments at once
  • Device Requirements: Reliable computer with a dual monitor setup to efficiently review scans, manage data, and multitask
