About the Role
We’re seeking an experienced Executive Assistant / Account Coordinator to provide direct support to our Senior Director and the team managing a major national retail account. This is a hybrid role—approximately 30% executive support and 70% project/account coordination.
You’ll be the organizational backbone for the Senior Director and the growing team around this account, keeping everything running smoothly while supporting Project Managers, field superintendents, and day-to-day operations. This role will evolve as the account grows, with potential to transition to full-time.
This is not an entry-level position. We need someone with experience, maturity, and the ability to hit the ground running.
What You’ll Do
Executive Support (30%)
Manage calendar, scheduling, and meeting coordination for Senior Director
Screen and triage emails, flagging priorities and drafting responses
Coordinate travel arrangements (flights, hotels, rental cars) for site visits
Process expense reports and reimbursements
Prepare meeting agendas, take notes, and track action items
Format reports, presentations, and correspondence as needed
Account & Project Coordination (70%)
Create and maintain project documentation in RedTeam (project management software)
Coordinate subcontractor documentation: insurance certificates, W-9s, contracts, waivers
Track permitting status and coordinate with local municipalities
Schedule and manage general conditions: dumpsters, portable toilets, fencing, equipment rentals
Support Project Managers with administrative tasks and correspondence
Interface with field superintendents on site logistics and documentation
Communicate with the client (national retailer) on day-to-day project matters
Coordinate with estimating team on bid support as needed
Lead project closeout documentation and archiving
Work collaboratively with other team members, including a dedicated full-time Project Administrator
What We’re Looking For
Required:
Minimum 5 years of experience in an Executive Assistant, Project Coordinator, or similar role
Highly organized with exceptional attention to detail
Strong written and verbal communication skills
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Ability to manage multiple priorities and deadlines without dropping balls
Proactive self-starter who takes initiative and thinks ahead
Calm under pressure—cool as a cucumber when things get hectic
Comfortable in a direct communication environment (construction is a straightforward industry)
Reliable internet connection and dedicated home workspace
Willingness to travel 1-2 times per month (2-4 nights away from home)
Preferred:
Construction industry experience (commercial, retail, or general contracting)
Experience with project management software (RedTeam, Procore, Buildertrend, or similar)
Familiarity with subcontractor documentation, permitting, and project coordination
