About the Role
I am a business owner with a fast moving schedule and a creative brain that does not always love structure. I am looking for a grounded, detail oriented Executive Assistant who can help keep things organized, follow up where I drop the ball, and bring clarity to the moving parts of my day to day operations.
This is more than just scheduling meetings. It is about helping manage the chaos with care. If you are someone who finds satisfaction in keeping others focused, creating order, and gently holding people accountable, this may be a great fit.
Key Responsibilities
- Manage and maintain my calendar using Outlook 365 and Calendly
- Monitor and organize my inbox, flag priority items, and help draft or respond to emails as needed
- Create weekly task lists and track deadlines across projects
- Join Zoom meetings or review recordings to take notes and identify action steps
- Track open tasks and communications in TaxDome or shared documents
- Prepare and format client facing documents using Microsoft Word and Excel
- Assist with preparing and mailing physical documents or packets
- Send reminders and check ins to keep things on track
Qualifications
- Two to three years of experience as an Executive Assistant, Administrative Assistant, or in a similar support role
- Proficiency with Microsoft Office including Word, Excel, and Outlook 365; familiarity with Calendly, Zoom, and cloud based systems
- Experience managing inboxes, calendars, and project coordination
- Comfortable learning new systems quickly; TaxDome experience is a plus but not required
- Excellent writing, editing, and proofreading skills for client facing communication
- High attention to detail and ability to manage sensitive information with discretion
- Located in the United States with reliable internet and availability for weekday check ins
- Able to pass a background check

Compensation and Hours
- Contract position starting at 15 -20 hours per week with the possibility of expanding to full time
- Hourly rate based on experience, starting at $25/per hour
