Overview

We are a small, client-focused financial advisory firm seeking a detail-oriented and dependable part-time Client Service Specialist to support our growing practice. This remote position offers flexible hours and the opportunity to play a key role in delivering a smooth and organized client experience. The ideal candidate is proactive, tech-savvy, and comfortable working independently in a fast-paced, service-driven environment. For the right candidate, this role offers the potential to grow in both hours and responsibilities over time.

Key responsibilities include:

• Manage calendars and coordinate scheduling for client appointments.

• Prepare meeting materials and ensure documentation is accurate ahead of client interactions.

• Maintain and update client information and records within our CRM system.

• Support in the onboarding process for new clients.

• Organize and maintain digital client files.

• Communicate with clients via phone and email to gather outstanding documents, signatures, and additional information.

Qualifications

• Proven experience in administrative support, preferably within financial services or a client-facing environment. • Strong organizational and time management skills with the ability to manage multiple priorities and deadlines. • Excellent written and verbal communication skills. • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, etc.). • Experience using CRM systems (e.g., Redtail, Salesforce, or similar) is a plus. • Comfortable handling sensitive information with discretion and professionalism. • Self-motivated, detail-oriented, and able to work independently in a remote setting. • Familiarity with financial terminology and processes is a bonus but not required.
