Role Summary
The Account Manager is responsible for the overall relationship with the client, ensuring deadlines are met and communication is timely, transparent & open with clients, driving customer satisfaction and consistency of client services. This role includes quality review & analytical skills (you will need to know the ins & outs of bookkeeping to be able to step in and support where needed and also be able to review).
This is also a client-facing role. So you must be comfortable on camera & juggling multiple accounts (our clients are a breeze to work with, and lovely humans).
We need a positive team player who thrives on getting sh** done (and doesn’t mind a few swears). You need to be detail oriented. In fact, we’re so serious about that, that there’s a secret subject line you need to use in your job application, just to prove how detailed you are!
Here’s what else we’ll need from you:
- Review monthly bookkeeping/accounting: Review financial statements for inaccuracies/inconsistencies
- Review Bank Reconciliations
- Review Balance Sheet & Cash Flows
- Communicate with Bookkeeper/Accountant about rework/issues or handoff
- Ensure financials are delivered to clients with summary by deadline
- Ensure appropriate response time for client communications according to client scope

- Manage Onboarding of new clients, including: Monitor onboarding automations in Dubsado
- Setup project management in Asana
- Setup of Client Folders in Google Workspace
- Xero File
- Setup of Hubdoc
- Setup of Payroll in Gusto
- Collect new client documents & follow up when needed
- Lead Client Onboarding Meetings
- Add client email to email marketing system (Kajabi)
- Establish & document scope & process for client workflows
- Perform Diagnostic of Books and/or catchup cleanup of client books
- Update Client Nuances information
- Hand off New clients to Staff Accountant or Bookkeeper
- Perform monthly trend analysis on client financials
- Interpret Financial Data for meeting with Client
- Summarize financials & KPIs for client meetings, emails, or loom videos
- Communicate process changes with bookkeepers
- Lock periods in Xero after final financials are issued each month
- Meet with Clients or send Loom videos each month or quarter
- Review year end 1099s
- Review Payroll Reports for accuracy
- Register and File for Sales Tax or Payroll Tax in various jurisdictions
- Monitor client annual corporate filing
- Update Asana, keep status notes, and check off tasks when completed
- Organize Standard Operating Procedures (SOPs) in Notion and make note of any suggestions for improvements + take initiative to improve + update SOPs when needed
- Utilize Xero Ask for all client requests (queries) or missing info
- Attend weekly team meetings
- Check in and out in Slack daily
- 30-45 minutes per week of continuing education (specific education may be assigned by your manager)
- Track your KPIs weekly and be prepared to present them at team meetings:
– #of Tasks Past Due
– of Tasks Blocked
– Rework (tasks sent back to you for correction)*Although these are your main responsibilities, this job might encompass other tasks as well.
