Patient Care Intake Coordinator

We are seeking a Patient Care Intake Coordinator who will work with potential clients in the community to help manage critical scheduling and billing coordination, and to connect them to mental health care. The Patient Care Intake Coordinator will play a key role in our private psychology practice.

We are a private practice specializes in providing compassionate, evidence-based mental health care to individuals with depression, anxiety, and stress. We work with kids, teens, young adults, college students, and adults.
In this position, you would play a key role in our private practice and get hands-on clinical experience coordinating and conducting initial calls and emails to connect patients with care. Pay is hourly and the hours are flexible with virtual availability (e.g., off-site).
This is the perfect position for someone who is interested in working closely with and building a long-term relationship with Dr. Victoria Ranade, the director of the practice. ** Ideal candidates would be looking for work for 1.5-2 years+.
Successful PCCs demonstrate high organizational skills and time management. Hours range from part-time 30-40 hours/week.
EXAMPLE JOB RESPONSIBILITIES
● Ensure all paperwork is completed by clients.
● Take all incoming referrals for new clients and schedule within 24 hours
● Follow up with all referral sources regarding the status of the appointment
● Intake coordination, conduct clinical assessments
● Enter all new client information into our electronic health records systems and databases accurately
● Use systems to verify active insurance and related information
● Schedule client’s first appointment with urgency
● Communicate with client in regards to what they should expect, what items to bring to their first appointment, regarding billing matters etc.
● Make appropriate selections/matches from client to clinician based on areas of specialization and expertise.
● Make communication with client after the first appointment in order to ensure their needs were met and they were satisfied with their placement.
● Make adjustments as needed
● Problem solve billing inquiries
● Call insurance companies to inquire about patient benefits
● Follow through and communicate with clients
● Follow through and communicate with clinicians
JOB REQUIREMENTS
● Prior work experience required
● GPA of at least 3.60. Applications where GPA does not meet this criteria will not be reviewed.
● At least 1.5-2 year commitment required.
● Candidates who are looking for a long term relationship are given strong preference
● Candidates with any type of prior job experience are given preference
● Warm and inviting personality, excellent with verbal and written communication
● Detail-oriented and organized in regards to following up with clients who are unreachable, etc.
● Driven by goals, able to work towards meeting goals without getting frustrated or giving up
● Must have deductive reasoning skills and able to interpret charts and graphs-each client will be placed with a clinician based on that clinician’s area of expertise
● Must have scheduling or service industry related experience
