About the Role

We are seeking a detail-oriented and results-driven Quotation & Vendor Coordination Specialist to join our growing team. This role is critical in supporting our promotional merchandise operations by managing the end-to-end quotation process, sourcing products from multiple vendors, and ensuring compliance with internal protocols and best-in-class sourcing practices.

The ideal candidate will have hands-on experience in the promotional items industry, excellent communication skills, and a proven ability to work across internal teams with speed and accuracy.

Key Responsibilities

  • Source promotional merchandise and obtain competitive quotations from multiple vendors.
  • Analyze vendor responses to ensure alignment with product quality, pricing, lead times, and compliance standards.
  • Maintain and follow strict quotation protocols, ensuring adherence to best practices in transparency, documentation, and evaluation.
  • Serve as the primary liaison between vendors and internal stakeholders, ensuring timely responses and clarity on all requirements.
  • Collaborate closely with marketing, procurement, and project teams to understand product needs and timelines.
  • Build and maintain strong vendor relationships to drive cost-effective and timely procurement.
  • Track and report quotation status, manage documentation, and support purchasing decisions with relevant data and insights.
  • Stay informed on industry trends, supplier innovations, and product developments within the promotional merchandise space.
  • Communicate across different cultures to manage international account relations
  • Work with suppliers, packers and freight forwarders to ensure prompt and accurate delivery of our orders by providing the required export compliance documentation

Requirements 

  • 3+ years of experience in the promotional items and branded merchandise industry, preferably in procurement or vendor management.
  • Strong understanding of quotation processes, product sourcing and decoration.
  • Exceptional communication and follow-up skills; able to manage multiple vendors and internal requests simultaneously.
  • Demonstrated ability to work with speed and accuracy under tight deadlines.
  • Proficiency in Google Workspace ; experience with procurement or quotation management tools a plus.
  • Detail-oriented, proactive, and highly organized.
  • Ability to manage internal stakeholder expectations while driving external vendor performance.
