We’re looking for a highly capable, organized, and financially literate Executive Assistant to partner directly with our CEO and help lead the operational, administrative, and financial backbone of the company.

The Role
This is not a typical assistant role.
You’ll work directly with the CEO to manage and improve the operational systems that keep multiple businesses running — from hiring and HR to bookkeeping, cash management, and investor coordination.

You’ll have access to every layer of the business and will be expected to handle confidential information with discretion, precision, and good judgment.

The right person is curious about technology, open to using AI and automation, and driven by the idea of helping a business run more efficiently each week.

 

Key Responsibilities:

Operations Management
Maintain and continually improve the company’s operational systems in Notion, Google Drive, and Airtable.
Track company tasks, OKRs, and KPIs; ensure meetings and follow-ups are clear and closed.
Prepare weekly CEO briefing reports summarizing major deliverables, risks, and performance.
Create SOPs and structure workflows that allow the team to move faster with fewer bottlenecks.
Help the CEO organize projects across multiple entities and ensure communication between teams stays aligned.
You’re the one who ensures nothing slips through the cracks.

Finance & Bookkeeping
Manage bookkeeping for multiple entities using QuickBooks or similar software.
Record and categorize transactions accurately; reconcile accounts weekly.
Track income, expenses, capital contributions, and distributions across business and personal accounts.
Maintain P&L statements, balance sheets, and cash flow forecasts.
Prepare tax-ready financials and work directly with accountants to file quarterly and annual returns.
Manage payments, reimbursements, and vendor invoices.
Maintain dashboards showing company cash position, credit card usage, and line-of-credit activity.
You should be confident with bookkeeping, reconciliation, and financial reporting — no training required.

Hiring & People Operations
Post job listings, schedule interviews, and manage hiring pipelines in Notion or Airtable.
Run onboarding processes and ensure new team members are equipped with logins, SOPs, and expectations.
Maintain HR records, performance reviews, and compensation tracking.
Manage contractor invoices and ensure accurate reporting for tax and compliance purposes.
You’ll help the company grow by finding and onboarding the right people — fast, smoothly, and professionally.

Executive & Personal Support
Manage the CEO’s calendar, travel, and communication to eliminate friction.
Prepare agendas, research notes, and post-meeting summaries.
Handle personal financial systems, household bills, and family logistics with confidentiality and care.
Support high-priority personal tasks — travel booking, logistics, and scheduling — so the CEO can focus on strategic work.

Qualifications

Who You Are You have 3–5+ years of experience supporting founders, executives, or senior leaders. You have hands-on bookkeeping experience — you can build and manage books from scratch, reconcile accounts, and communicate clearly with accountants. You’re familiar with operational tools like Notion, Google Workspace, QuickBooks, Airtable, and ClickUp. You love bringing structure to fast-moving environments. You’re comfortable learning and using AI tools to save time and automate repetitive work. You communicate with clarity, respect, and reliability.
