Overview

Executive Assistant (Scheduling & Lifestyle Coordination)
Location: Remote (Must work U.S. hours — preferably outside California)
Part-Time or Full-Time

About the Role:
I’m looking for a highly organized Executive Assistant to take full ownership of my weekly schedule. Your mission is to make sure my time reflects my priorities — including business, creativity, wellness, and most importantly, family. You’ll work closely with me each week to map out a balanced calendar, plan logistics, block focused work and learning time, and coordinate activities like golf and pickleball.

This is more than just scheduling — it’s about helping me live a more intentional, productive, and present life.

Key Responsibilities:

Own and manage my calendar with weekly planning sessions to:

Schedule meetings and Zoom calls
Block time for creative work, reading, and learning
Prioritize family time with dedicated blocks for kids and personal connection
Plan and coordinate recreational activities (pickleball, golf, etc.)
Add buffers and travel time between meetings/events
Coordinate with external contacts to book meetings, confirm availability, and manage schedule changes
Help me stay accountable to my time blocks and personal goals with proactive check-ins and reminders
Ensure the week flows smoothly — balancing intense work periods with rest, movement, and connection
Think strategically about how to optimize time and reduce decision fatigue
What You Bring:

Proven experience as an Executive or Personal Assistant with a focus on calendar and time management
Excellent written and verbal communication skills
High emotional intelligence and awareness of family/lifestyle dynamics
Ability to plan ahead, anticipate needs, and navigate a changing schedule with ease
Comfortable using tools like Google Calendar, Calendly, Notion, and messaging apps
Must be available during U.S. business hours (preferably not based in California for better schedule offset)
Bonus Points:

Familiarity with productivity frameworks (time-blocking, GTD, etc.)
Strong personal interest in family, wellness, and optimizing life around what matters most
