Executive Assistant to Founder (Future Chief of Staff, Ops Leader, or Acquisitions)(Full-Time, Remote — Fast-Paced Growth Role) Remote (U.S.-based) Preference: Dallas TX, NC, SC, TN Hours: Full-time, 40 hours/week Compensation: Hourly Rate $10 – $15/hr + Upside Gross Profit Share Path: Chief of Staff, Director of Ops, or Acquisitions Leadership

We’re now growing fast — and we need a high-performing right-hand operator to keep the business moving while the founder focuses on growth, deals, and vision.

💼 What You’ll Do as our Executive Assistant to the Founder, you’ll go far beyond inbox and calendar management. You’ll own operations, keep our pipeline moving, and help build the systems and marketing for both our land investment arm and a next-gen AI sales coaching app. This is a high-autonomy, high-trust role designed to grow into Chief of Staff, Director of Ops, or even Acquisitions Lead — depending on your strengths. You’ll:

Manage the Founder’s calendar, inbox, and focus blocks to support transaction coordination
Handle vendor, broker, and title coordination for land deals
Maintain dashboards, update KPIs, flag stuck deals, and propose fixes
Build and document SOPs and workflows (Loom, Trello, Google Docs)
Run CRM pipelines (Pebble REI + Go High Level) and lead data hygiene
Coordinate listing launches on Zillow, Land Watch, FB Marketplace, etc.
Lead marketing execution for content, email/SMS campaigns, flyers, and video
Support marketing strategy for our AI Sales Coaching App (research, planning, content calendars, tool coordination)
Work directly with VAs, editors, and freelancers (hiring, tasking, QA)
Use AI (Chat GPT, Claude, etc.) to scale operations and boost output
🏗️ Key Operational Focus Areas

 

📬 Marketing List Development & Campaign Execution✅ Own high-volume marketing list creation and outbound execution

Build and oversee clean, and format targeted mailing lists using proprietary AI built tools on Amazon Web Services (much faster than traditional methods). Final prep in Excel.
Prepare and manage direct mail campaigns ranging from 5,000–10,000+ units
Coordinate with our print vendors, schedules, and delivery windows
Create skip-traced lists for cold text outreach (Launch Control, Smarter Contact, etc.)
Track campaign ROI and lead conversion from direct mail + SMS
Oversee ops around these systems: timelines, budgets, list hygiene, follow-ups
🧾 Transaction Coordination Manage the full deal lifecycle from lead → offer → title → close.

Track title, survey, and closing status
Push vendors, escalate blockers, and ensure zero delays
Keep CRMs and Trello deal boards clean, tagged, and updated
💰 Disposition Management

Post listings across all platforms
Coordinate with brokers
Track buyer interest, offers, and time-on-market
Keep sales deals moving to close efficiently
📈 KPI + Project Execution

Own dashboard reporting (leads, conversions, ROI)
Lead monthly reviews with actionable next steps
Manage recurring workflows via Trello, Sheets, and Slack
🤖 Marketing: AI Sales Coaching App

Help plan GTM (go-to-market) campaigns
Research competitors and tools
Manage content calendars, email sequences, and landing page workflows
Coordinate creatives and tools (AI, freelancers, automations)

💡What you have already done

Experience with real estate (land, brokerage, title, investing, etc.)
Familiar with Trello, Go High Level, Pebble REI, or similar tools
Has supported a founder or C-level exec directly
Has managed VAs, marketing contractors, or freelancers
Strong in Excel/Sheets and data cleanup/organization
Content-friendly: social media, short video editing, Canva, etc.
