Virtual Executive Assistant to Founder (Remote, US Eastern Time)
About the Role
We are seeking a highly organized, proactive Virtual Executive Assistant to support the founder of a growing investment firm in a fast-paced, high-context environment. This role is focused on bringing order to a busy digital world: managing inbox and calendar, structuring tasks, and ensuring follow-through across multiple workstreams. The position requires consistent overlap with US Eastern Time business hours to align with the founder’s schedule and client commitments.
You will work closely with the founder and a small, distributed team, including global team members who actively manage the firm’s software systems. A particular focus of this role is supporting excellent CRM tracking and organization, in partnership with another global hire dedicated to managing CRM inputs.
Key Responsibilities
Manage the founder’s calendar, inbox, and daily priorities, ensuring preparation for meetings and deadlines
Track action items and follow-ups from email, Slack or similar tools, and meetings, organizing them into a clear, up-to-date task system
Maintain CRM records, meeting notes, and relationship information with a high degree of accuracy and completeness
Collaborate closely with a global teammate responsible for CRM data inputs to ensure information is timely, consistent, and decision-ready
Partner with other team members who manage core software systems (CRM, project management, communication tools) to keep workflows aligned
Draft and refine emails, brief updates, and light slide or document preparation as needed
Coordinate logistics for virtual meetings, including agendas, materials, and follow-up summaries
Proactively flag conflicts, risks, and bottlenecks, and propose solutions rather than just surfacing issues
