Senior Operations Manager (Part-time –> Full-time)
Overview
I run an online coaching business helping executive women leave corporate and start their own business, and I need a right-hand person who can do it all.
This is NOT a pure tech role.
This is NOT a traditional Executive Assistant role.
This is NOT for someone who only wants to work in their lane.
This is for someone who can:
- Build a Go High Level automation in the morning
- Process payroll after lunch
- Send a professional client email mid-afternoon
- Coordinate podcast guests before end of day
- And still pick up the phone when I slack huddle you
You’ll split your time equally between:
- Go High Level systems management (building/updating automations)
- Daily operations (payroll, invoices, admin)
- Client & team liaison (emails, coordination, managing our VA)
- Podcast & content coordination (guest scheduling, production workflow)
- You work directly with me. You’re the person who keeps everything running so I can focus on growth, marketing, and serving clients.

WHAT YOU’LL OWN
Go High Level & Systems Management (25%)
- Build, modify, and troubleshoot automations and workflows
- Update funnels, landing pages, and CRM systems
- Stay current on GHL updates and implement improvements
- Troubleshoot technical issues for team and clients
- Think: You’re the GHL expert who keeps our systems running smoothly
Daily Operations & CEO Support (25%)
- Process payroll and manage invoices
- Handle day-to-day administrative tasks
- Respond to emails I forward you (with full ownership)
- Be available for emails and slack huddles throughout the day
- Think: You’re my operational backbone
Client & Team Liaison (25%)
- Send professional emails to clients (using templates you create)
- Manage our execution-focused VA
- Create email templates and systems for recurring communications
- Handle client inquiries and coordination
- Think: You’re the thinking role; the VA is the execution role
Podcast & Content Coordination (25%)
- Schedule and coordinate podcast guests
- Manage recording calendar and logistics
- Edit content yourself OR coordinate with editors/vendors
- Organize content library and distribution workflow
- Support organic marketing initiatives
- Think: You’re the producer who makes the content machine run
Must-Have Experience:
- 3+ years supporting CEOs, founders, or entrepreneurs as a right-hand person
- Advanced Go High Level skills — specifically building/managing automations (not just using the platform)
- Proven experience with client-facing communication
- Track record managing multiple responsibilities simultaneously
- Experience with payroll, invoices, or operational admin
Technical Skills Required:
- Go High Level (advanced — can build automations)
- Google Workspace or Microsoft Office
- Project management tools (Asana, ClickUp, etc.)
- Email management and inbox optimization
- Podcast/content tools (or quick learner)
- Basic video editing OR strong vendor management
Soft Skills Required:
- Highly responsive communication style
- Proactive problem-solver who takes initiative
- Comfortable switching between tech, admin, and people tasks
- Emotionally steady — client communication doesn’t stress you
- High integrity and discretion
COMPENSATION & STRUCTURE
Rate/Salary: $40-60/hr
Hours: 20-25 hrs/wk –>Potential for full-time later this year
Location: Remote
Start Date: ASAP with ramp up period
