This is a high-trust, high-judgment support role for a busy philanthropist and investor. You will manage the principal’s calendar, triage inbound requests, protect focus time, and help ensure priorities move forward smoothly and consistently.
The ideal candidate creates calm, reliable systems without over-engineering them. If you have supported a fast-moving, high-performing principal and know how to bring structure, discretion, and sound judgment to a dynamic environment, this role could be a strong fit.
Calendar & Time Management
• Own the master calendar; schedule, reschedule, and guard protected focus blocks
• Send concise daily or weekly calendar previews so the principal is never surprised
• Build buffer time around meetings; avoid back-to-back scheduling unless explicitly requested
• Resolve scheduling conflicts proactively — without escalating every decision upward
Gatekeeping & Triage
• Screen all inbound meeting and time requests with discernment and good judgment
• Respond diplomatically on the principal’s behalf; draft polished declines and deferrals that preserve relationships
• Monitor and flag high-priority email; draft replies for principal review; reduce inbox cognitive load
• Develop and maintain a clear system for what gets escalated vs. handled independently
Administrative Projects
• Track open action items, follow-ups, and deadlines; surface things before they become problems
• Prepare one-page briefing notes before key meetings; capture and distribute action items afterward
• Arrange and manage travel logistics; maintain clear, accessible itineraries
• Maintain a contact database with context notes; prompt the principal on key relationship touchpoints
• Conduct light research on meeting attendees, organizations, or opportunities — always in scannable format
