We’re Looking for a Senior Bookkeeper

You’re the kind of person who can spot a weird balance in a P&L from across the room. You like clean books, clean systems, and clean handoffs. Messy files don’t scare you — but leaving them messy? Absolutely not.
You’re proactive without being pushy. Organized without being rigid. You follow through, communicate clearly, and don’t need someone hovering over your shoulder to make sure things get done. You just… handle it.
You’re also the kind of person who can mentor others without making them feel small. You’re kind, steady, and encouraging — but you’re not afraid to call out what needs fixing. Warm, but not fluffy. Supportive, but not sloppy.
If that sounds like you, keep reading.

Does This Sound Familiar?

You’re tired of:

Cleaning up avoidable mistakes nobody caught earlier
Processes that live in someone’s head instead of in writing
Being expected to “just figure it out” with zero context or support
Roles where quality gets sacrificed for speed
Teams that say they value people but really just reward burnout

You want:

A flexible remote role with real autonomy
Clear expectations and solid systems
A team that values accuracy, consistency, and follow-through
The chance to improve workflows instead of working around broken ones forever
Good humans who do good work

About Us

We’re a fast-growing virtual bookkeeping firm serving small to medium-sized businesses. We specialize in monthly bookkeeping, clean-up work, Advisory services, and Diagnostic Reviews. We care about clean books, jargon-free communication, strong systems, and doing great work without the corporate nonsense.
As our Senior Bookkeeper, you’ll own assigned accounts, keep books accurate and review-ready, mentor junior team members, and help make the whole firm better. This role reports directly to the CEO.

Position Details

Remote | Part-Time Contractor | 10–15 hrs/week | $25–$35/hr
Perks: Flexible schedule · Work from anywhere · No client calls or Zooms · Focused, independent work · Room to grow as the firm grows · Your ideas actually matter here

Responsibilities

Ownership here means staying on top of assigned accounts, catching issues before they snowball, and producing books that are clean enough for smooth owner review and CPA handoff. It also means mentoring junior staff, documenting better processes, and spotting where our workflows can be stronger. And yes — because attention to detail matters a lot around here — you must include the EXACT phrase “Hired (Hopefully) by a Brown Dog” in your email subject line, or your application will not be reviewed.

Education/Experience:

Non-Negotiables

If you don’t meet both, this role isn’t the right fit — and that’s okay. The right role is out there waiting for you!

Job Overview

Category: Finance
Experience Level: Mid Level
Salary: $25 - $35/hourly
Location: Remote (US Only)

Requirements

In this role, ownership looks like staying on top of assigned accounts, catching issues before they become bigger problems, and producing books that are clean enough for smooth owner review and CPA handoff. It also means helping junior team members improve, documenting better ways of doing things, and bringing a sharp eye to places where our workflows can be stronger. And yes, because attention to detail matters a lot here, you must include the EXACT phrase "Hired (Hopefully) by a Brown Dog" in your email subject line or your application will not be reviewed.

Responsibilities include:

  • Manage and reconcile assigned client accounts monthly
  • Monitor and ensure the accuracy of bookkeeping tasks performed by junior bookkeepers
  • Enter advanced bookkeeping entries and depreciation
  • Identify inefficiencies in bookkeeping processes and implement solutions to streamline workflows, reduce errors, and optimize productivity
  • Review payroll reports for accuracy and enter necessary entries to record payroll
  • Train and mentor bookkeeping staff to enhance their skills and knowledge in bookkeeping practices
  • Establish standardized procedures to ensure accurate and seamless handoff of financial records
  • Review financial reports and statements for management, clients, and regulatory purposes
  • Assess and implement accounting software tools that facilitate efficient bookkeeping processes
  • Stay up-to-date with accounting regulations, industry standards, and best practices to ensure compliance
  • Maintain client communication between bookkeeper and client
  • Maintain data security and confidentiality in all bookkeeping activities
  • Document bookkeeping procedures, guidelines, and best practices for future reference and training purposes

Although these are the main things, this job might encompass other tasks as well.*

Work Environment

This is a fully remote role with flexible hours, built for someone who works well independently and doesn’t need a lot of hand-holding. You’ll have occasional email communication, but this is not a client-facing, meeting-heavy position.

Requirements

  • Proactive and able to spot issues before someone else has to point them out
  • Highly organized and strong with follow-through
  • Clear, professional communicator
  • Reliable and consistent
  • Encouraging, positive, and kind in how you work with others
  • Efficient without sacrificing accuracy
  • Welcoming and respectful with teammates
  • Comfortable learning new software and technology
  • Strong working knowledge of bookkeeping best practices
  • Able to maintain confidentiality and data security

Education / Experience / Equipment

  • High School Diploma
  • 2+ years of experience in a similar bookkeeping role
  • Reliable internet connection
  • Working computer

Job Non-Negotiables

  • Must have experience with QuickBooks Online
  • Must be US based

If you don’t meet these two requirements, this role is not the right fit — and that’s okay. We want to be respectful of your time and ours. This position requires someone who can step in with real QBO experience and work within a US-based setup from day one.

Job Nice-to-Haves

  • Experience with Xero
  • Experience with Gusto
  • Experience with SurePayroll
  • Experience with Double
  • Experience with Asana
  • QuickBooks Certified
  • Associate or Bachelor Degree in Accounting or related field

As Brown Dog Bookkeeping continues to grow, this role can grow too. There’s room to take on more accounts, more responsibility, and more ownership over internal systems and team support. We promote based on ownership, not tenure.
