Recruiting Assistant: Help Me Match Great Sales Talent with Growing Businesses

The Opportunity
I’ve spent the past 3 years building a recruiting practice that helps small businesses find top-performing sales reps. It’s rewarding work as I get to connect talented salespeople with companies that truly need them, and business is growing faster than I can handle solo.

I need a detail-oriented Recruiting Assistant to keep things organized behind the scenes so I can focus on what I do best, meeting with clients and candidates.

Hours: 5 to 10 hours per week to start
Schedule: Monday through Friday, 10am to 5pm Pacific (flexibility within this window)
Location: US based only (I need real-time collaboration, not asynchronous handoffs)

What You’ll Be Doing
Your job is to keep the recruiting machine running smoothly.
Think: organized executor who makes sure nothing falls through the cracks.

Day to day responsibilities:

  • Collecting candidate references via email or Indeed once they reach the final interview stage
  • Sending status updates to candidates through Indeed when assessments are received
  • Pausing Indeed job ads once we hit target applicant numbers (saves clients money)
  • Setting up client folders in Google Drive with assessment spreadsheets (from a template)
  • Posting job ads and setting up sponsored campaigns in clients’ Indeed accounts (I write the ads, you handle the technical posting)
  • Batch scheduling candidates for initial 15 minute interviews in Calendly
  • Updating fields in N8N to route assessments into Google Drive and Google Sheets (slightly technical, but I can teach you)

Growth opportunity:

If you’re interested in learning the recruiting side (how to evaluate candidates, conduct phone screens, etc.) I’m happy to teach you my process. Zero pressure, but the door is open if you have strong people skills and want to expand your role.

What You Need to Succeed

Skills and tools:

  • Google Sheets: Comfortable with conditional formatting, data organization (no pivot tables required)
  • Google Drive: Experience with folder organization and sharing permissions
  • Slack: Your main line to me for day to day communication
  • Calendly: Scheduling multiple meetings efficiently
  • Superhuman: My email platform (runs on Gmail, easy to learn)
  • Phone and text: I’m a fast moving texter and caller. I won’t bombard you, but when something’s time sensitive, I’ll call

  1. You’re organized and proactive, you see what needs to happen next
  2. You can move quickly without sacrificing accuracy
  3. You’re comfortable learning new tools and systems
  4. You communicate clearly and keep me in the loop

I move fast and work with people who can keep pace. That said, I’ve built all these systems over years. I don’t expect you to match my speed on day one.
