Overview

Job Responsibilities:

  • Coordinates, compiles, organizes, and prepares materials for meetings
  • Human Resources responsibilities to include, but not limited to, scheduling interviews for open positions, handling travel arrangements for potential new employees – as needed, on-boarding new hires, new hire training facilitator, tracking PTO, manage employee recognition program, track employee reviews, update employee handbook (as needed) – including yearly holiday schedule
  • Plan annual company meeting, team building event and holiday party – including travel arrangements
  • Arranges meetings, schedules conference calls in multiple time zones
  • Handle quarterly offsite leadership team meeting arrangements – including travel arrangements
  • Drafts/proofreads/revises correspondence and documents
  • Draft and correspond via email to staff communicating important updates
  • Follows-up with team members on workflow and deadlines
  • Maintains important law firm business related documents in appropriate cloud based files
  • Works closely and effectively with other department members to successfully complete projects
  • Assists with other department activities as needed, and performs additional duties and responsibilities as assigned such as special projects

  • High attention to detail, outstanding organizational skills and the ability to manage time effectively as a remote employee
  • Position requires the ability to work under pressure to meet deadlines and effectively prioritize multiple tasks
  • Strong problem-solving skills, takes initiative and uses good judgment, excellent follow-up skills
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
  • Candidate must be a self-starter who can work independently with minimal supervision
  • Recognize confidential, sensitive, and proprietary information and maintain such information as confidential
  • Ability to establish and maintain effective working relationships with all levels of the organization and collaborate well in a team
  • Proactive in seeking innovative ways in which to help others

Qualifications

Bachelor’s Degree or equivalent experience is preferred. Prior experience in a professional environment as an Executive Assistant, preferably in a law firm setting though not a requirement. Proficiency with Google Business platform - Google Calendar, Google Docs, Google Sheets, Google Slides, etc. Exposure to the EOS Business Model.
