Overview

Looking to partner with a polished executive assistant who has strong attention to detail, great follow-through, and is caring and empathic.  Please help me organize and grow my leadership development and coaching firm.

·      Scheduling: coaching engagements and workshops. Goal is to proactively, strategically and compassionately maximize executive’s schedule for greatest productivity, accuracy and ‘reality’. A proven ability to manage multiple calendars with careful review of client email threads across multiple time zones is required.

·      Financial function support: submit invoices to bookkeeper, track all invoicing and change orders.

·      Project management: work with clients’ executive assistants to gather key information to establish new client files. Establish client credentials in leadership assessment tool. Update master client tracker with all relevant client activities and milestones. Prepare client folders with established templates and other relevant files prior to client engagements.

·      Travel: once travel recommences executive assistant will manage travel planning and travel expense management.

Required Skills and Traits:

·      Master “Rockstar” scheduler: proven-effective ability in maximizing time for the delivery and support of professional services.

·      Ideal candidate will be someone who truly understands and is motivated by the professional value and contribution this aspect of strategic and agile calendar management delivers to the executive’s overall productivity and success.

·      Strong written and verbal communications with a polished professional email and telephone demeanor for interaction with key corporate clients and other executive assistants.

·      Positive and proactive “get-it-done” mindset.

·      Compassionate and unflappable. Personable, relatable and conscientious.

·      Detail oriented, organized, and highly accountable.

·      Proven success in managing processes to streamline recurring administrative tasks.

·      Sense of urgency to work intentionally, strategically and efficiently with strong judgment skills for prioritization.

 

·      Prior experience working in an organization.

·      Two years of experience managing multiple calendars.

·      Proficiency in MS Outlook, Excel and Dropbox.

·      An interest in the field of human potential and leadership development would be a bonus, but not required for consideration.

Two year minimum commitment requested. This opportunity is a fully remote part-time 1099 role for 10- 15 hours a week with potential to expand.
