Overview

  • Answer phones and respond to emails (check and return missed calls and emails at least every 2 hours)
    Coverage time is from 9 am to 5 pm CST
  • Schedule clients (enter them into the E.H.R. system, obtain their credit card to be placed on file, handle rescheduling, cancellations, questions about our services, fees and clinicians)
  • Contact new clients prior to their appointments if they have not completed their paperwork
  • Obtain insurance information and ID from client
  • Contact clients for outstanding payments and collect payments when clients call in with late cancellations
  • Send out mass emails/information to clients as requested
  • Add new employees in the Attorney General’s portal
  • Maintain call log (with new clients, did they schedule, referral source etc)
  • Work on converting calls to clients
  • Give information about our services and the general therapeutic process, what they can expect
  • Verify clinician’s licenses and renewals are completed
  • Other duties as assigned

We are a counseling center who see adults, couples and families virtually. We have both associates and fully licensed clinicians and accept some insurance.

Available to answer calls and reply to emails Punctual (limit calls missed, return calls and reply to emails promptly, within 24 business hours) Reliable (follow up on tasks, communicate needs and times they are unavailable) Have good interpersonal skills Effective listening skills Warm and empathetic towards clients while yet being firm Tech-Savvy Knowledgeable about the electronic health system used (Simple Practice) a plus Flexible Good written and oral communication skills (professional, empathic yet firm when interacting with clients and staff. Monitors tone and delivery of communication) Organizational skills Knowledgeable of mental health field and jargon Maintain Confidentiality Have proper equipment and environment to conduct the tasks (such as phone, reliable internet, quite etc) Create a relationship and safe place for clients Communicate the value of our services
