Seeking a detail oriented, enthusiastic, “get the job done” individual to provide remote support for the mindfully busy, on the go owner of My Inspiration Studio. We are seeking to hire an Administrative Assistant who can juggle several balls at once, maintain a calm demeanor, thrive in a virtual work environment, understand the importance of completing tasks on their own, and anticipate what is needed to assist with behind the scenes business operations.

THE OPPORTUNITY: The Assistant plays an integral role in the My Inspiration Studio experience by providing support to the owner and assistance with supporting the needs of a  life coaching practice and personal growth business. The ideal candidate will enjoy a creative environment and understand the significance of a heart focused business.  Assistant must have excellent verbal and written communication skills and the ability to be consistent and follow through. Also, experience with or knowledge of cloud-based technologies to support file sharing, video conferencing, social media, online presence and marketing is a must. This part time position (10 to 12 hours per week) is 90% work from home and 10% in the studio or on location.


General Administrative Assistance

· Assist with client communication, funnels and email flows and pipelines

· Track and initiate event calendar and website updates

· Keep track of inventory system and order supplies as needed

· Communicate and follow up with customers, partners and vendors via email, on phone. Send thank you notes, surveys and respond to inquiries.

· General administrative tasks as needed (scheduling, documenting, phone calls, email)

· Create, write and edit internal communications, notifications and documents

· Assist clients throughout the coaching process and answer general and technological inquiries

· Handle accounting tasks such as invoicing/account receivables/Reconciliation.

· Prepare proposals and follow up with potential clients (no sales)

· Various administrative functions — filing, organizing, travel arrangement, etc.

Social Media/Marketing & Communications

· Be an advocate for the studio and assist with marketing efforts by communicating product information and ideas

· Coordinate efforts to connect with potential clients, publicity and corporate sponsor opportunities

· Manage email lists and assist with executing bi-monthly newsletter

· Assist with managing contact file

· Help manage social media schedule

· Assist with research for social media ideas

Online Event Preparation and Assistance

· Assist with the development of event materials

· Assist with participant registration, log-in and support throughout the event
