Business Manager Role

We are looking for a virtual/remote team member to fill the role of Business Manager.  This is a critical position within the company and is an independent contractor position.  It is estimated to take 5 to 12 hours per week.  Hourly rate is $40 to $50 per hour.  You will be free to set your own hours, when and how you work.

We are seeking an individual with strong administrative, technology, project management and organizational skills who is a self-starter and has experience working within a results based framework.  This means we set clear goals and are looking for you to step up and help us determine how to get there, asking questions when needed and open to feedback.  At least one year of fully remote work/business experience is required.

This position requires working closely with the HIGOL CEO to ensure success and effective efficient work flow with both client projects and on HIGOL internal projects.  These include managing marketing and recruitment processes.  Client based projects may include work with both HIGOL CEO and Associate Consultants.

 

 

Client project responsibilities include:

Manage the flow of client projects with a keen eye for details that may be necessary to the execution of a particular task within the project.
Read, become familiar with and use scope of work in clients’ contracts to develop a timeline to manage the project across the company.  Develop this time line and associated tasks This time line inside cloud based project management software (http://Teamwork.com).
Fill-in Kick-Off Meeting templates and lead Kick-Off meetings with the client leadership and HIGOL’s CEO to review to further refine time lines and responsibilities within multi-faceted engagements.
Assign initial tasks to team members inside Teamwork software.  Make regular updates when tasks are completed and new tasks appear.  Work closely with the HIGOL CEO and client’s administrative staff to ensure activities are completed on time or rescheduled.
Schedule appointments with clients as outlined in the scope of work and with potential clients as part of marketing follow up sequences using Acuity software (https://www.acuityscheduling.com) and google calendar depending on circumstance.
Serve as a key contact with clients customer service needs (changing appointments, submitting work, coordinating schedules).
Purchasing Kolbe assessments, sending them to clients/leads/prospects, and following up with them until they are complete.  Ensure completion is within the client workflow timeline.

   HIGOL project responsibilities include:

Manage HIGOL marketing activities using Bold Haus integrated marketing system.  We will train you on this system and then we are looking for you to help manage us, the processes and systems we use to implement it.  When well done, this system results in a steady stream of prospects and healthy revenue for the company.  Examples of this work in include:
Ensuring proper pipelines and automations are set up in Active Campaign CRM (http://activecampaign.com)

Setting up, and scheduling nurture emails within ActiveCampaign.

Ensure the company is posting regular blog posts to a wordpress (www.wordpress.com) website linked to nurture emails.
Assist in SEO optimization using an SEO optimization program on the website.

Update website with any edits/changes (home page, sales pages), coordinating with graphic/website designers as needed.
Assist in following established processes for coordinating and planning Executive Round Tables for nonprofit CEOs.
Helping CEOs track frequency of sales conversations.
Follow and refine processes for researching, documenting and pitching to podcast sponsors and for CEO to speak at appropriate conferences
Research potential prospects, organize leads in appropriate CRM with critical data.
Add new leads / contacts to Active Campaign

Create systems for storing/managing contacts and following up with leads
Assist in managing the HIGOL associated consultant recruitment and contracting process.  This includes sending out applications to interested candidates, receiving information from and tracking interested candidates in Teamwork, and working with the CEO to ensure individual candidates are moving through the process smoothly.  Responsible for onboarding Associate Consultants once they are chosen by the CEO including drafting contracts, setting up HIGOL accounts and orienting them to HIGOL policies.

Work with the HIGOL CEO in a quarterly strategic planning process that results in goals and objectives for the quarter we track through teamwork.

Lead weekly ‘sprint’ meetings reviewing where we are with both HIGOL and client projects.  Troubleshoot and provide support for tasks that are stuck and not moving forward.
General Administrative Tasks:

Manage and maintain a multi-level filing system on google drive including client, marketing, business development, legal, financial and human resource files.

Assist in tracking receipts monthly for the bookkeeper to reconcile.
Update credit card information for subscriptions as needed

Download recordings from Zoom and transcribe them using Otter.ai and uploading to the appropriate google drive folder.

We are looking for someone who: Is an expert in establishing priorities and defining objectives based on feedback from other team members and the company's stated goals and priorities for the quarter. Has strong research skills, enjoys doing it, and has ability to prioritize    Has a demonstrated ability to create, follow, document and support processes, plans and systems.  Has demonstrated experience systematizing repeating activities, but has enough flexibility to allow an established  process to change when needed, sometimes quickly. Has an ability to bring focus and closure to activities that have been left open or unfinished.  Naturally tracks information and follows it through to its natural end.
