Overview
Seeking a highly organized virtual assistant with strong interpersonal skills and an interest in supporting the learning of professionals, which is our mission. Work varies by current project and priority. This job is roughly 5-10 hours per week and is roughly divided between supporting Principal and designer of client work and supporting the VTS@Work Program courses, which are run a few times per year.
The full scope of this position across a calendar year includes the following requirements and skills:
Highly organized with excellent interpersonal and communication skills, including the ability to keep information and vulnerable learning moments confidential.
- An eagerness to learn and help organize the learning and development of our clients.
- Assisting with calendar management, email management, and using social media tools and platforms.
- Organizing client workshop materials, tracking, and reports.
- Overseeing and sending out our weekly Art Offering newsletter.
- Making website edits as programs develop and change.
- Coordinating the administration of our VTS@Work Program, including:
*Running all email communication with our students, using past templates.
*Working with our faculty team to ensure they have the materials they need to deliver the program
*Running Zoom and breakout rooms for program sessions, including meeting for 15 minutes before and after the actual session times, which are all during the day EST.
*Note that during the bulk of the live session time, you will be in the background, camera off, performing other related tasks.
*Some client-facing work: during sessions to help troubleshoot technical issues, supply links and resources, occasionally set up meetings with faculty, frequent email communications about the program overall. - Proficiency with:
*Google Suite (Drive, Docs, Forms, Sheets, Slides, Calendar, Contacts)
*Microsoft Suite (PowerPoint, Word, Excel)
*Mailchimp
*Basic Adobe
*Zoom (able to manage Breakout Rooms)
*Vimeo (able to upload videos)
*Slack
*Canva
*Squarespace and Squarespace Commerce
*LinkedIn
Also advantageous:
*Canvas classroom platform (or willingness to learn)
*Social Media skills
*Light editing and design skills (i.e., within PPT or design software like Canva)
*Basic video editing skills (or willingness to learn)
*Over time, suggesting new ways to organize and make our work more efficient.
*An interest in the arts is a plus!

Our Story
Dabney Hailey, a museum curator with a passion for sharing art’s relevance to contemporary society, launched Hailey Group in 2014 in Cambridge, Massachusetts, with renowned museum educator Philip Yenawine as a founding consultant. Hailey aimed to bring together two worlds: the transformative experience of looking deeply at great works of art and the development of an equitable learning culture within the workplace.
She gathered a team with deep expertise across adult learning, business, the arts, healthcare, and human-centered design. Most team members consult with Hailey Group while pursuing careers in other arenas, keeping our thinking fresh, relevant and applicable.
