We are on the hunt for an enthusiastic, highly motivated Onboarding Manager to be a part of our thriving practice! We are an Acupuncture office that hopes to make Acupuncture viable to the American culture. We need someone who can help support our clients through every step of our onboarding. Transforming our clients from someone who is interested in finding out if their insurance covers Acupuncture to someone who we are checking on after their first visit to creating relationships with our clients so that they are inspired to write great reviews. If you love helping support others throughout their wellness journey then this position is for you!



Manage duties such as meeting and greeting patients, booking appointments, requesting payments, dealing with phone and email enquiries, and general administrative tasks.

Maintain and improve procedures within the practice.

Manage internal & external events and promotions.

Understand and value your role in the healthcare sector. It requires compassion, professionalism and discretion as you deal with various people.

Work well under pressure and be able to multitask.

Providing an excellent client experience.

Manage and record data on patient contacts to ensure a seamless client experience

Everyday is different so you must be dynamic, proactive and able to think quickly on your feet.



Sales experience, retail or otherwise (not required but advantageous).
Customer service experience.
Strong time-management, communication and organizational skills.
Comfortable with a fast-paced environment.
Strong leadership skills.
You must be outgoing and strong at building relationships.
You must have strong attention to detail and be comfortable with problem solving.
Ability to multitask and prioritize during busy periods while maintaining a calm, friendly and professional disposition.
Be skilled and pay attention to detail as you will be dealing with clinical records.
Strong command of English (verbal and written).
Incredibly organized, ability to multitask and work with autonomy.
Proficiency with technology with fast and accurate typing speeds to maintain accurate records.
Strong administrative and self-management skills to be able to work without supervision.
Must be friendly, self-disciplined and trustworthy.
Excellent IT skills particularly using the MS Office Suite and patient management software – training will be provided.

Customer Service and building relationships with clients is very important

Must be confident to strike up a conversation with clients both in person and over the phone

Consult with potential clients over the phone and show confidence in converting them to join our practice

Show strong initiative in daily tasks and complete set tasks in a timely manner

Must value team culture – we like to look after each other

Use problem solving skills with clients as needed (e g  anticipating each situation based on what the client is going through and improvise as needed to ensure a safe client experience)
