Overview

Position: Frontend VA
Compensation: $20-$25/hour (starting pay, depending on experience)
Location: Remote
Hours: M-F (Alternating Saturdays) 9am – 5pm EST

ROLE

In this role, you will act as a Customer Service Front-End Admin, collaborating closely with the Back-End Virtual Assistant (VA) to ensure a smooth and efficient workflow. Together, you will bridge the gap between client-facing tasks and backend operations, maintaining high standards of service and organizational excellence.

As a Frontend VA, you play a crucial role in supporting the Sales Department by ensuring tasks, documentation, bookings, and communications are handled accurately. You will work interdepartmentally to facilitate a seamless transition for new clients to the Programs Department, upholding exceptional service and operational efficiency across teams.

RESPONSIBILITIES

Have [35-40] hours per week available for the following tasks:

Onboarding 
-Manage documentation and signatures for new Health coaches/sales closer hires.
-Facilitate platform access and schedule onboarding calls.
-Attend onboarding calls to provide support.
-Serve as the main contact on Slack for questions and resources to ensure they get tended to.
-Maintain and share the resource directory.
-Organize and update training materials, SOPs, and other essential documents as needed.
-Utilize ChatGPT to upload call transcripts, extract client avatar pain points, identify marketing opportunities, and suggest call improvements.

Team Communication:
-Communicate between the sales team and management to ensure seamless communication.
-Use Sales Academy Resource to direct closers to appropriate resources for their inquiries and escalate complex questions to management when necessary.

Client Engagement:
-Engage with clients who have purchased but not yet booked services through GHL chat, and phone calls to encourage booking.
GHL CRM Admin Support
-Closer Tasks Communication
-Communicate with closers on the status of their daily tasks and further notates if needed

Prospect Engagement
-Manage/ respond to GHL Prospect conversations by communicating them with closers and adding GHL tasks to tend to messages
Calendar and Booking Management
-Manage Ghost Calendar
Fill empty slots on closer calendars with leads from the ghost calendar (last minute cancels, reschedules, etc that don’t fill)
Conduct appointments for ghost calendar leads who do not have a closer available to take the appt
-Utilize setter script to qualify the prospect, confirm assessment completion, and book a follow-up call with the closer
-Conduct appointments for potential unqualified leads.
At times, a lead on a closer’s calendar may appear financially unqualified. In such cases, the objective is to reassign the unqualified lead to the VA  and replace the another consult

Cross-Training:
-Cross-train with the Backend VA to ensure coverage and understanding of both roles, enhancing team flexibility and efficiency.

Preferred Skills:

– Teachers encouraged to apply!
-Familiarity with CRM systems and sales performance metrics.
-Strong problem-solving skills and attention to detail.

Qualifications

REQUIREMENTS-Strong organizational and data management skills. -Ability to work independently with minimal supervision. -Excellent interpersonal and communication skills. -Timely in responses and able to manage multiple tasks effectively. -Proficient in using ChatGPT or similar AI tools to analyze and improve processes. -Experience in managing calendars and booking systems, preferably in GHL, Slack, Practice Better, G-suite Self-motivated and adaptable to a fast-paced work environment.
