Position Title: Administrative Assistant
Work Area: Operations
Reports To: Founder/CEO

Position’s Goal:

The role of the Administrative Asssistant is to provide support to the Founder and to the team by acting as a point of contact for company administrative needs. The Administrative Assistant will work closely with the Founder to act on their behalf, protect the Founder’s time and energy, and conduct a multitude of administrative tasks with the utmost discretion and care.

Key Functions & Responsibilities:

  • Email inbox management
  • Order and send client gifts, welcome gifts, thank you cards, holiday cards, etc.
  • Coordinate online team meetings, virtual meetups, and improve/maintain the company culture in Slack
  • Receipt management to ensure all purchases have valid receipts
  • Maintain accurate team calendar & records (Birthdays, days off, work anniversaries, etc.)
    Work within our project management system (ClickUp) to create new projects, improve automations, etc.
  • Answer the company phone and return phone calls as needed
  • Make travel arrangements
  • Social media engagement such as following, commenting, etc. on behalf of the Founder
  • Organize and maintain company files in Google Drive
  • Assist the Founder in the sales process
  • Various administrative tasks for the company/Founder

The growth path for this position is flexible for varying contractor goals. The person in this position will have the opportunity to advance within Operations or HR areas, or if preferred, remain the Founder’s trustworthy Administrative Assistant with increased hours.
