Overview

Virtual Assistant – Virtual Event Bookings | Contractor
Time commitment: 10-20 hours per week

Location: Remote

Compensation: $35/hour (open to adjusting based on experience)

Key Responsibilities:
Lead day-to-day production process, inbound and outbound booking from start to finish for guests on podcast, Free Webinars, Masterclass and other speaking engagements.

Podcast (2 x week):
Review guest intake forms and pre-screen.
Research trending topics and high profile guests to come to the show
Research podcast and pitch hosts to be on other high profile podcasts
Lead all guest communication (pre and post event)
Support and collaborate (as needed) with Marketing, Sales and other team members to share production timelines and content deliverables.
Communicate directly with post production partner (Legacy Podcast) and lead monthly strategic meetings
Lead improvements of production-related systems and processes
Research competitive podcasts and monitor industry trends
Other production and administrative duties as assigned

Free Webinars (2 x month) & Masterclass (1 x month):
Source and collaborate with team on inviting guests that meet our criteria
Coordinate collection of assets, creation of marketing materials, promotion and post production.

Speaking engagements
Intentionally seek top-rated opportunities for our founders to speak (in person conferences, virtual events or podcasts) in front of different industries, women-focused
Lead communication with point of contact
Coordination of title, blurb, and other items that the engagement needs from our founders (forms filled out, PowerPoints) etc.

Key Requirements
Minimum of 2+ years of experience in production, preferably with interview-based shows
Experience with virtual podcast recording software (Riverside) preferred but not required
Experience with CRM and Project Management Software (Hubspot, Clickup)
Ability to troubleshoot basic remote tech issues (microphone and camera placement, audio levels, lighting, etc.)
Manage and keep pipelines (HubSpot) updated and tasks inside ClickUp organized and on schedule
Be able to plan ahead (90 Day Playbook), and keep tasks on schedule.
Be able to follow SOPs and keep high quality
Strong project management skills, and the ability to work on deadline
Resourceful and proactive when solving problems
High level communication and customer service skills
