POSITION DESCRIPTION
This is a long-term role for a thoughtful, detail-oriented Executive Assistant who will be supporting our founder.  The role will involve the scope of work described on the next page. The purpose of this role is to support out founder so she may focus on executing her growth strategy.

This position shall start as a 20 (minimum) to 30 (maximum) hour-per-week role, however, we are targeting for it to become a full-time role within 6 months, or less based upon achieving revenue targets, hence your ability to support Bari in her efforts shall be the key factor in when the position goes to full time. The position is being offered as a remote position on a 1099 or Corp to Corp basis

Your initial tasks include the following, and as you grow with the company your responsibilities and hours grow as well.

  • Answering emails and texts from existing clients and managing their requests with care and empathy, using superior communication skills.
  • Managing our founder’s calendar of projects and appointments with existing and potential clients. Specific actions for this task shall include:
    • Working with Bari to block and schedule her calendar for personal appointments, projects, daily routine items, and the appointment types which follow.
    • Daily, scheduling individual client sessions; ensuring each client is prepared for their session with all necessary links and instructions.
    • Daily, scheduling weekly group client Q&A sessions ensuring meeting links are published in our specific format to our private Facebook group
    • Daily, confirming and (as required canceling and rescheduling) potential client  (strategy session) appointments and ensuring that these potential clients receive and complete all of their pre-session requirements and assignments
  • Archiving, managing, and updating the Archive of recordings of group client Q/A calls in our Google Drive and Vimeo.com archives
  • Collaborating with Bari daily to establish priorities and tasks to be completed, by her and yourself.
  • Execution of a variety of administrative tasks including but not limited to the following:
    • Executing the onboarding checklist for new clients.
    • Setting agendas and preparing materials for client sessions.
    • (periodically) creating slide decks in PowerPoint.
    • Creating simple graphics for social media-related postings, based on templates.
    • Ordering client gifts and supplies.
    • A variety of types of research products
    • Creating a social media calendar
  • In addition to the above, candidates able and willing to achieve the following will receive special consideration:
    • Ability to develop and manage simple project plans
    • Ability to prepare simple social media posts for Facebook.
    • Ability to prepare creative graphics.
    • Ability to prepare marketing emails and newsletters (based on templates)
    • Ability to make simple edits to WordPress websites

Qualifications

Ability to work remotely with their own computer, and (stable) internet, from a private and quiet space.  Willing and able to make phone calls as when needed to confirm appointments.
