Job Description:

We are seeking a meticulous and organized Administrative Operations Coordinator to join our team. This role will primarily involve managing various administrative tasks to ensure smooth operations and exceptional customer service.

Responsibilities:

Daily/Weekly Checklist:

  • Check and respond to emails promptly, including video messages if applicable.
  • Monitor and respond to student messages in a timely manner, addressing inquiries and concerns.
  • Handle payments, cancellations, refund requests, accounts receivables, and chargebacks efficiently and accurately.
  • Oversee the onboarding process for all students, ensuring 100% compliance with scheduling onboarding calls and following up with no-shows to reschedule.
  • Monitor and manage Trustpilot reviews, addressing feedback and ensuring a positive reputation.
  • Coordinate with the team to set up students with Virtual Assistants (VAs) as needed.
  • Offboard students who have not paid or have canceled their payments, updating records accordingly.

Key Performance Metrics:

  • AR collection percentage: Ensuring timely collection of accounts receivables.
  • Chargeback percentage: Minimizing chargebacks through effective management and resolution.
  • Onboarding calls booked: Tracking and optimizing the percentage of students completing their onboarding calls, essential for their success.

Qualifications

Detail-oriented with exceptional organizational skills. Previous experience in an administrative or operations role, preferably in a customer-facing environment. Proficient in managing time effectively and prioritizing tasks. Experience in handling accounts receivables is highly desirable.
