Overview

Hi! I’m the CEO of a fast-growing workplace wellness company, seeking an executive assistant. In this flexible, remote role with growth potential, you’ll manage my calendar, communications, travel, and other admin responsibilities. I’m a supportive boss who communicates in a relaxed but professional way. Join our team and help our clients thrive!

ABOUT US

Flourish Legal Well-Being (http://teamflourish.com) provide workshops and coaching on various aspects of well-being for law firms and legal teams. We’ve run programs at Fortune 100 companies, the world’s top law firms, public defenders’ offices, and many other organizations.

Over the past year and a half, the team has grown from two to seven, and our operations have expanded. It’s an exciting time to join us.

We’re a mostly-female team from a range of racial, cultural, and experiential backgrounds. We believe that this diversity helps us better serve our clients, and we’re committed to fostering a supportive work environment that values everyone’s uniqueness.

(NOTE: I know the HireMyMom job post features a “Mindfulness for Lawyers” logo. That was our old brand before the company expanded, and it appears to be a technical issue with HireMyMom. Sorry about any confusion – we’re working with them to fix it!)

KEY RESPONSIBILITIES

  • Manage my calendar and schedule calls, meetings, and appointments
  • Give me daily briefings on my schedule and tasks
  • Book travel arrangements
  • Manage my email inboxes and interact with email contacts
  • Conduct online research
  • Perform various online tasks, including research, purchases, and managing software subscriptions
  • Generally help me run my business and personal life smoothly

HOURS

This is a part-time role with a starting commitment of about 15 hours per week. If all goes well, there will be opportunities to increase your hours over time.

Working hours are flexible. I don’t mind whether you do your work at 3 PM or 3 AM as long as you meet your deadlines and produce great work.

That said, the job does involve regular communication with me, so I ask that you generally be reachable between 10:30 AM and 6 PM ET. (If you prefer, we can adjust this range to 11 AM to 6:30 PM ET.) If you have occasional conflicts during these hours, that’s no problem. Just let me know in advance if you can or put up a Slack away message if you can’t.

SOFTWARE TOOLS YOU’LL USE

  • Gmail
  • Google Calendar
  • Slack (for chat-based communication)
  • Dropbox (for file storage)
  • LastPass (for password storage)
  • Calendly (for call scheduling)
  • Notion (for project/task/knowledge management)

You don’t have to use all of these already, but you have to be able to learn them quickly.

JOB REQUIREMENTS

  • Quality-focused. You take pride in doing excellent work, whether it’s a massive project or a two-sentence email.
  • Self-directed. You can think on your feet, find solutions, and figure out how to complete tasks without handholding. With time, you can learn to anticipate my needs and suggest useful things I hadn’t thought of.
  • Organized and detail-oriented. When I give you instructions, you follow them carefully and in detail. You can keep track of multiple tasks and responsibilities, and you don’t let things slip through the cracks.
  • Articulate. You write well, in native-level, fluent English. Your writing has a warm, friendly, not-too-formal tone, while remaining professional.
  • Accountable. When you make a mistake — which everyone does — you don’t hide it or make excuses. You acknowledge the mistake, propose a fix, and treat it as a learning experience.
  • Tech-savvy. You’re comfortable in the digital environment, able to use all the required software tools (see above), and able to learn new, user-friendly software services.
  • AI-friendly (or open to learning). If you don’t already use ChatGPT or Claude (the smarter, paid versions) fairly extensively, you’re open to learning how. I can provide some helpful guides.
  • Personable and kind. You treat people with patience, caring, and respect.
  • Available 15 hours per week.
  • Generally reachable during the hours specified in the “Hours” section above.

HOW TO RESPOND

  • Please outline how you meet each of the job requirements I listed, being as specific as possible and ideally providing relevant examples.
  • Please list the last three jobs you’ve had (this can include freelance jobs), including the name of the company, your title, and a brief summary of your responsibilities.
  • Please start your letter, email, or application with the line, “Let’s do this!”
  • And, of course, please let me know why you’re excited about this position in particular.

Thanks, and I look forward to hearing from you!
