We are seeking a highly capable, self-motivated Virtual Assistant-Publishing with excellent communication skills and an upbeat attitude to join our growing team.

Within our organization, the role of a Virtual Assistant-Publishing is critical. It is both client-facing and supportive to the publisher and entire team. The Virtual Assistant-Publishing is a key representative of the company to clients, prospects, vendors, and partners.

About you:

You naturally anticipate obstacles and are good at figuring out what’s wrong and how to fix it. You can take a direction, follow through and make corrections that are needed along the way to stay on track. You prioritize and then act. You take ownership of the tasks you agree to do. In addition, you are enthusiastic and upbeat about your work.

About the position:

We are looking for a rock star Virtual Assistant-Publishing who has the ability and passion to:

  • Acquire full working knowledge of all of our programs and procedures, our backlist and current pipeline of titles, our author-clients, vendors, and partners.
  • Become 100% capable of handling the book production tasks from start to finish by learning our processes and all database systems we use.
  • Add value by helping to improve existing operations whenever possible
  • Demonstrate the ability to handle myriad responsibilities effectively with minimal supervision
  • Help us to build our online offerings (courses and products).

Examples of some responsibilities the Virtual Assistant-Publishing might undertake are to:

  • Coordinate and implement marketing automations in ActiveCampaign
  • Complete all book production tasks properly in a timely manner
  • Maintain our Books & Admin databases
  • Assist with implementation of new publishing programs and educational courses as required

Qualifications

-Naturally upbeat, positive attitude -Strong organizational skills -Highly detail-oriented and superb on follow-through -Excellent verbal and written communication skills. Must be willing to check and double-check all written materials whether for online or offline use. Perfection is our intention when it comes to written communications. -Excellent computer skills, including mastery of software and platforms such as Active Campaign, Basecamp, Google Suite (Docs, Sheets, Forms), Word, Excel, PowerPoint, Canva, AirTable, Facebook, LinkedIN, YouTube, Vimeo, AWS, NetGalley, TextCafe. Ability and willingness to adapt to and learn other software or platforms as necessary. Modest HTML coding knowledge is helpful -Graphic design capabilities are a plus. -Reliable and dependable. -Ability to work independently but also a team player with a “roll up your sleeves” mentality and a “do whatever it takes” attitude. -Strong desire to work in a fast-growing environment -Ability to learn quickly -Previous experience working remotely as a Virtual Assistant is essential -Ability to multi-task and shift directions quickly when necessary without losing composure or enthusiasm. -Previous experience within the publishing industry preferred, but not required
