We are seeking a highly capable, self-motivated Virtual Assistant with excellent communication skills and an upbeat attitude to join our growing team.

Within our organization, the role of a Virtual Assistant is critical. It is both client-facing and supportive to the publisher and entire team. The Virtual Assistant is a key representative of the company to clients, prospects, vendors, and partners.

About you:

As someone who likes to work hard, you really like to organize and to figure out how the pieces of a task or situation can be arranged for maximum productivity. You naturally anticipate obstacles and are good at figuring out what’s wrong and how to fix it. You can take a direction, follow through and make corrections that are needed along the way to stay on track. You prioritize and then act. You take ownership of the tasks you agree to do. In addition, you are enthusiastic and upbeat about your work.

 

About the position:

We are looking for a rock star Virtual Assistant who has the ability and passion to:

· Support the publisher as an administrative assistant extraordinaire

· Acquire full working knowledge of all of our programs and procedures, our backlist and current pipeline of titles, our author clients, our vendors, and partners.

· Become 100% capable of handling the book production tasks from start to finish by learning our processes and all database systems we use in order to provide backup to our Production Coordinator

· Participate in both Dudley Court Press (DCP) marketing and author/book marketing tasks – mostly digital creation and management

· Add value by helping to improve existing operations whenever possible

· Demonstrate the ability to handle myriad responsibilities effectively with minimal supervision

 

Examples of some responsibilities the Virtual Assistant might undertake are to:

· Coordinate and implement all marketing automations (ActiveCampaign)

· Write back cover text for new titles

· Write book descriptions and content for Amazon product pages

· Follow up with potential reviewers

· Coordinate and implement our referral program (monthly and quarterly communications) including Send Out Cards

· Coordinate Key Metrics reporting – collecting data and providing reports monthly

· Maintain our CRM database

· Maintain our Books & Admin databases

· Coordinate and implement social media marketing

· Assist with implementation of new publishing programs and educational courses as required

 

Your essential skills and characteristics:

· Naturally upbeat, positive attitude

· Strong organizational skills

· Highly detail-oriented and superb on follow-through

· Excellent verbal and written communication skills. Must be willing to check and double-check all written materials whether for online or offline use. Perfection is our intention when it comes to written communications.

· Excellent computer skills ,including mastery of software and platforms such as Active Campaign, Asana, Google Suite (Docs, Sheets, Forms), Word, Excel, PowerPoint, Canva, AirTable, Facebook, LinkedIN, YouTube. Ability and willingness to adapt to and learn other software or platforms as necessary.

· Modest HTML coding knowledge is helpful

· Some graphic design capabilities are a plus.

· Reliable and dependable.

· Ability to work independently but also a team player with a “roll up your sleeves” mentality and a “do whatever it takes” attitude.

· Strong desire to work in a fast-growing environment

· Ability to learn quickly

· Previous experience working remotely as a Virtual Assistant

· Ability to multi-task and shift directions quickly when necessary without losing composure or enthusiasm.

· Previous experience within the publishing industry helpful, but not required

 

This is a part-time, virtual position. Initially, the hours will include between 5-10 per week, with potential to increase. This is a 1099 position, with an hourly rate between $20 -$35.
