Job Type:

I am looking for an experienced Project Manager to join the C-Suite Boutique team and help expand the support I am able to provide to women seeking success through entrepreneurship.

  • You are technically savvy. I currently conduct business primarily virtually. This means we use a wide variety of software and online tools for organization, communication, and conducting business. 
  • You are organized. This position is responsible for keeping both me and my clients focused and accountable. You will need to be able to prioritize and stay on top of tasks and projects to keep the business moving.
  • Systems and processes are your love language. In this position, you will be creating, implementing, and managing processes for nearly every activity our team conducts. You love a good spreadsheet and checklist and live and die by your calendar.

  • You are an excellent communicator. In this role, you will be representing me and C-Suite Boutique to business owners, potential clients, and partners. You should be able to communicate clearly, concisely, and professionally. 
  • You are resourceful. My time and energy are stretched in multiple different directions on any given day. Any time you are able to find answers and solutions on your own without guidance from me saves me the mental and physical energy I can put towards serving clients and growing the business.
  • You pay attention to the details. Dotting i’s and crossing t’s is not my strong suit. You have a keen eye and patience for detail that helps you spot errors or issues before they make it into the external world. 
  • You can anticipate needs. I don’t always have the time to think ahead. If you are someone who takes initiative and is able to anticipate a need I have that will support me, the business, or our clients before I ask, please apply!
  • You are a multi-tasker. At any given time, we may have multiple projects, clients, or initiatives happening simultaneously. You should have the ability to prioritize and manage your time while also being flexible enough to switch gears when necessary.

  • You are responsive. While this job does have flexible hours, you will be expected to respond in a timely manner to questions or requests with a confirmation that you received the communication and a commitment to a turnaround time to respond or follow through.

About This Role

The Project Manager position is accountable for:

  • Keeping efficiency in the flow of work
  • Creating white space for me to work in my zone of genius and on the growth of C-Suite Boutique
  • Keeping me, the C-Suite team, and our client teams focused, organized, and on track
  • Maintaining a high level of client service and satisfaction

Responsibilities 

  • Using ClickUp and other relevant tools, create consistent, repeatable workflows, systems, and processes for me, my assistant, and our clients to get work done
  • Set up and oversee client Company Dashboards in ClickUp including quarterly goals, metrics dashboard, team meeting agendas, budgets, and project management systems
  • Review weekly client team calls and update progress, statuses, to do’s, and issues accordingly
  • Monitor client ClickUp accounts weekly for upcoming deadlines, due dates, or issues and coordinate with me to keep client teams on track to their goals
  • Onboard new retainer clients, setting up their milestones and quarterly planning sessions 12 months in advance
  • Assist me with scheduling, preparing for, facilitating, and managing our client team calls
  • Manage client metrics dashboards. This may include assisting clients in calculating or finding their data or pulling metrics from clients systems to include in their monthly metrics dashboards.
  • Prep clients for their quarterly planning sessions by sending quarterly planning workbooks and gathering feedback
  • Collaborate with my assistant to schedule and prep clients for Business Blueprint projects and Strategic Growth Planning sessions. This may include prepping and following up on client workbooks and scheduling follow-up advisory calls. 
  • Provide suggestions and recommendations for improving efficiency and client experience
  • Provide project management for internal C-Suite Boutique quarterly goals and weekly to-dos. 
  • Collaborate with my assistant on administrative tasks

Requirements of the position

  • Experience working with ClickUp preferred. Will consider applicants who have experience in another project or task management system and the willingness and ability to come up to speed quickly using YouTube and other training resources on your own time
  • Experience working with Google Workspace tools: Google Drive, Google Calendar, Gmail, Google Sheets, Google Docs, Google Forms, etc
  • Familiarity with Zoom or other video conferencing software
  • Ability to work a minimum of 10-15 hours per week during daytime hours
  • Experience working in a virtual environment
  • Must have functional workstation and high-speed internet

ABOUT ME

I am a 20-year business and marketing expert. As an MBA, I’ve become a go-to resource for visionary women entrepreneurs who dream of building businesses that run without them. I am passionate about creating a more equitable landscape for women in business and working to remove common barriers that hold them back. 

 

I am also the host of the Female Founders Breaking Boundaries podcast where I encourage women to forgo stale, inflexible business advice in favor of more realistic, workable ways of running a business while still achieving success. Additionally, I published A Fresh Wave of Marketing, a no-nonsense guide to simplifying the creation of business and marketing strategy. 

 

I founded SHE-Suite Boutique to serve women entrepreneurs in an advisory role. I am currently working with 2-3 clients on a monthly retainer and accepting a few new clients per month on a project basis. The goal of this business is to stop as many women entrepreneurs as possible from sacrificing their sanity and happiness to achieve success in business. I plan to do this by offering up my systems and frameworks as downloadable resources, advising clients, building a community of visionary, high-achieving women entrepreneurs, and scaling our fractional services to an agency model.

 

I teach and/or execute effective strategic planning, goal setting, accountability, team building and management, and the creation of processes and procedures.

I founded SHE-Suite Boutique because it’s high time for women’s voices to be a staple in all the places where decisions are being made. The SHE-Suite Boutique was born from the concept of the popular corporate term: C-Suite. A corporate C-Suite is comprised of the most senior executives of the company and might include all the “chiefs”: Chief Financial Officer (CFO), Chief Marketing Officer (CMO), or Chief Operating Officer (COO). The role of the C-Suite is to provide strategic guidance to the CEO and lead their respective arms of the company.

Entrepreneurial female businesses do not have the budget to hire a professional level C-Suite. Yet, there’s still a need for strategic guidance and leadership. SHE-Suite Integrators have the skill and expertise to step into this role on a “fractional” – or part-time – basis, freeing up founders to focus on the big picture, the strategic direction, and the culture of their companies.

Qualifications

Score of 4 or higher on the KOLBE-A in areas of Follow Through and Implementer 2+ years of experience in web design, email marketing, and light graphics Working knowledge of metrics, KPIs, Google Analytics, or financial statements 2+ years experience working with online consultants or course creators Ability to work a minimum of 15-20 hours per week during standard business hours Experience working in a virtual environment Must have functional work station and high speed internet  Desire for continuous learning via relevant books, courses, certifications, programs, etc Experience with any of the following software: Zoom, Asana, ClickUp, WordPress, ConvertKit, QuickBooks, G-Suite, Slack
