Patient Care Coordinator Needed for Vibrant, Growing Virtual Functional Medicine Practice

JOB DESCRIPTION: We are seeking to hire a rock-star Patient Care Coordinator with at least 1 year of patient care and customer service experience to work online to directly support our team, and the patients in the practice.

This position will be approximately 20-30 hours per week, with occasional additional hours during certain projects.  This is a part-time employee position but can be a contractor position if contractor requirements are met. You will have flexible hours as long as work is getting done, meetings are attended, and patient needs are promptly met. This position is remote, except for potentially attending any team retreats that require travel. Most work is conducted through our electronic medical record system, Telegram, email, phone, Zoom, a CRM (Active Campaign), and in a project management system (Asana).

Some examples of what you will be doing:

Manage Patient Portal messages promptly
Communicate closely with Dr. McCarthy regarding patient concerns
Handle incoming calls and emails from patients, prospective patients, and vendors
Order labs and upload lab results
Onboard new patients
Facilitate prescription refills and pharmacy issues
Manage patient billing and memberships
Manage office systems, including EMR and integrations with labs, CRM
Monitor new patient waitlist
Suggest practice flow improvement as appropriate

QUALIFICATIONS: Must live in the Pacific Standard Time zone. Female preferred. Northern California location is a plus. College-level proficiency in written English. Must have proven success in providing excellent customer service. Can maintain patient privacy and follow appropriate privacy laws. Meets deadlines/goals. A “go-getter” and self-starter who does not wait for things to happen, but makes them happen. Works well independently and is self-motivated with good time management skills. Has experience in working virtually with a team. Knows how to manage and prioritize many tasks and projects at once. Excellent attention to detail and follow-through skills. Takes ownership of issues and resolves situations when a problem arises.  SKILLS: Must have a computer and reliable internet access. Past experience with an EMR is a plus. Working knowledge of Google Drive Suite: (Docs, Sheets), basic experience with Zoom Video Conferencing and Dropbox. Active Campaign experience is a plus. We need someone with varied skills: good writing/grammar skills, excellent customer support (by phone and by email), ability to learn quickly and put new online technologies to use, handle email correspondence on practice’s behalf and manage provider schedules, ability to respond quickly to last minute projects and needs.
