Overview

We are looking for a professional, vibrant, part-time Administrative Assistant who is a quick thinker with strong interpersonal skills and the capacity to manage complex assignments, demonstrate excellent written and oral communication abilities, be detail-focused, and willing to work independently to organize and prioritize a diversified workload in order to meet deadlines.

This is a part-time position working 30-40 hours a week. The position will require availability for occasional evening hours for webinars and online events. ***PLEASE NOTE: Candidates applying for this position must live in the Chicago area. However, 60% of work will be done remotely.***

IN THIS ROLE YOU WILL

· Serve as project coordinator and assistant to the CEO

· Serve as point of contact between Instructors, Assistant Manager, and contractors.

· Maintain an accurate and detailed calendar for the CEO, manage and log incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts

· Conduct preliminary research on a variety of topics; draft materials as needed

· Track CEO’s tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments.

· Ensure consistent and efficient interaction with other staff; demonstrate poise and tact under pressure and handle matters with sound judgment and confidentiality

· Respond to inquiries with little to no supervision.

· Facilitate various internal meetings by scheduling, creating meeting agendas, note-taking, providing timely meeting minutes, and appropriately following up on deliverables.

· Draft, edit and proofread memos, correspondence, meeting materials, and presentations.

· Coordinate KPI data collection reporting, and internal review and analysis.

· Process expense reports, check requests, corporate credit card statements, and review the monthly financial ledger for the department.

· Schedule and coordinate webinars and conference calls.

· Track employee efficiency and establish plans for improvement

· Format and distribute company newsletters and update memos.

· Coordinate and manage the onboarding process for new employees.

· Manage the Studio Google Drive folder and its contents by updating materials and creating and implementing a process for the senior team to access.

· Maintain feedback and manage updates to company policies.

· Work with the CEO to consistently maintain and improve company culture and employee experience

· Provide logistical and event planning support for company-wide retreats and planning meetings.

· All other duties as assigned by the CEO.

This Role Is Perfect For You If This Describes You…

· Bachelor’s degree in a related field plus one or more years of professional work history; six or more total years of post-secondary professional work history in lieu of Bachelor’s degree considered.

· One or more years of experience in providing high-level administrative support to executives.

· Detail-oriented, organized with a proven ability to successfully multi-task

· Positive, tenacious attitude

· Strong verbal and written English communication skills

· Outstanding interpersonal skills and preference for collaboration with proven success working with others; ability to work with high profile individuals externally, as well as collaborate internally

· Ability to work in a fast-paced and often unpredictable environment; works well under pressure and tight deadlines

· Ability to consistently apply good judgment and make good decisions.

· Ability to maintain confidentiality and discretion at all times

· Proven analytical and problem-solving abilities

· Organized with a proven ability to juggle multiple projects at once

· Experience working in a company with remote employees

· Experience managing complex event logistics

· Proficient in Google Suite Applications

Someone who is looking for a traditional 9-5, Monday-Friday job. If your plate is already full and you just need some extra income this won’t work for you.

While this position is part-time we do expect some to be committed to our studio and this position. This isn’t just a part-time gig, We are committed to changing women’s lives. So that means that sometimes you’ll have to work late, sometimes you might have to work on a Sunday, sometimes you’ll get the evening off but we need some with flexible afternoon and evening availability.
