Overview

This is a full time position with a salary range between $45,000 to $55,000 a year. Your primary duties will be to reconcile and maintain QuickBooks for our Bill Pay clients – to ensure accurate linking of accounts and oversee our reporting processes through QuickBooks for a variety of monthly and quarterly expense reporting.   You will also assist our team in processing payments through our payment processing system and serving as a back up to the bill pay team as needed.  QuickBooks Pro Advisor certification is strongly desired.

Contacts: Frequent contact with every department of the firm, third-party vendors, and clients.

Primary Responsibilities:

  • Maintain and reconcile QuickBooks files and generate and prepare monthly / quarterly client reporting through QuickBooks
  • Coordinate with clients and external vendors to ensure client service tasks are completed from beginning to end in the appropriate timeframe
  • Manage invoice route activity including status, wires and checks
  • Answer questions about the details and status of invoices/bills
  • Prepare, maintain and analyze accounts payable reports, exhibits and other supporting accounting schedules
  • Evaluate and compare the relative bill pay information with respect to the client’s life
  • Maintain payment systems and databases to ensure accuracy of vendor payments
  • Assist in onboarding new bill pay clients
  • Supervise bill pay assistant and other tasks to ensure quality standards, deadlines and proper procedures, correcting errors or problems
  • Maintain Bill Pay email correspondence and related actions (Salesforce queue, Bill Pay calendar)
  • Perform other duties as deemed necessary or as directed

Requirements

  • Bachelor’s Degree required
  • 1-2 years’ experience in a similar or related field
  • Proficient in QuickBooks reconciliation and reporting, QuickBooks Pro Advisor strongly desired
  • Strong communication skills, both verbally and in writing
  • Ability to multitask, collaborate and communicate well with individuals of all backgrounds in a fast-paces environment
  • Strong organizational skills, problem solving and attention to detail are a must
