Operations Coordinator (Pipeline & CRM Management)

Overview

We are a boutique estate planning law firm hiring a part-time Operations Coordinator to manage the client pipeline from initial inquiry through post-delivery follow-up. This role is 100 percent operations (not legal drafting or paralegal work).

If you love structure, follow-up, CRM organization, and creating simple, repeatable workflows, you will thrive in this position. We use tools like Minutes.ai and ChatGPT for summaries, clarity, and efficiency. You don’t need to be an expert, but you should be comfortable using AI as part of your daily workflow.

You Will Own:
• Intake review and CRM accuracy
• Same-day post-consult follow-up (email/text)
• Creating next steps and task reminders
• Scheduling design meetings and client touchpoints
• Maintaining clean pipeline stages
• Post-delivery tasks including review requests and annual reminders
• Weekly reporting (leads, consults, warm leads, reviews, upcoming annuals)

You Will Also Support Larger Projects Including:
• Developing a Client Care / Customer Care Program for 2026
• Researching tools and tech stacks that support client lifecycle and membership-style services
• Helping design and document SOPs for onboarding, renewal, and client engagement
• Assisting with launch and implementation of the program
• Coordinating client communication templates (emails, texts, reminders)
• Supporting subscription setup, invoicing, and billing workflows
• Providing ongoing operational maintenance of the program once live

This role is perfect for someone who enjoys taking a high-level idea and building the structure, process, and systems around it to make it run smoothly.

This Role Is Not:
• Legal drafting
• Paralegal work
• Document preparation
• Research related to legal cases
• Litigation support

This is purely operations and client-flow management.

There is room to move to full-time as well.

Qualifications

Required Qualifications: • Strong experience in operations, client success, intake coordination, program coordination, or similar workflow-driven roles • Comfortable managing and maintaining a CRM (HubSpot, Salesforce, GHL, Clio, or similar) • Excellent written and verbal communication with clients and internal team • High follow-through and ability to take initiative with limited context • Strong organizational and prioritization skills • Ability to create and follow SOPs, checklists, and workflows • Ability to document processes clearly from observation • Tech-comfortable and able to learn new platforms quickly • Comfortable using AI tools (ex: ChatGPT, Minutes.ai) to improve efficiency, organize information, and draft operational templates • Experience researching and comparing software tools to support operations • Confidence coordinating scheduling, tasks, timelines, and multi-step workflows • Warm, steady, and professional client communication stylePreferred (Not Required) Experience: • Working within a professional services or healthcare intake environment • Experience supporting the rollout of a program, membership, or subscription model • Familiarity with basic automations, triggers, or workflow design • Exposure to billing or invoicing processes • Experience helping launch new operational systems or client-facing programs
